Rates

Save an additional $100 per delegate by staying at the Rosen Shingle Creek! Make hotel reservations before you register for the convention. To redeem the discount, enter your hotel confirmation number in the registration form and enter promo code HOTEL100 on the payment section. The confirmation number is found in the confirmation email sent by the hotel upon your reservation.

What's Included?

Exhibitor registration tickets include:

  • One delegate registration with full access to all speakers, educational sessions, and food/beverages at the social/meal functions
  • An exhibit booth with back and side wall drapes, measuring ten feet by ten feet (10’x10’) in a carpeted ballroom
  • One six-foot skirted table
  • Two chairs
  • One wastebasket
  • Booth signage featuring your company name
  • Company featured on IAICDV website and convention mobile app
  • Access to the attendee list with contact information
  • Unlimited networking opportunities! 

A/V, electricity, internet, furniture, etc. must be ordered through GEMS expo management company.

IAICDV exhibitors also have the opportunity to be featured in a welcome video that is played for all convention attendees on the second day. The videographer will come to your booth during set-up time to record your company's 30-second plug. View a past exhibitor video.

Important Dates & Exhibitor Information

  • September 5: Deadline for discount on exhibitor orders | Shipments may start arriving at the exhibitor management company warehouse
  • Monday, September 18: Deadline to book your hotel reservations at the Rosen Shingle Creek at the IAICDV group rate
  • Wednesday, September 27: Deadline to make changes to exhibitor representatives
  • Wednesday, October 4: Deadline for exhibitor shipments to arrive at GEMS warehouse without surcharges
  • Wednesday, October 11: Exhibitor Move-In 2:00 - 5:00 PM | 30-second exhibitor introduction videos filmed at booths
  • Thursday, October 12: Exhibit Hall Luncheon 11:50 AM - 1:50 PM
  • Friday, October 13: Exhibit Hall Luncheon 11:00 AM - 12:00 PM | Move-Out 3:00 - 4:00 PM. All exhibit hall materials must be off the floor by 4:00 PM 

Transferring name badges on-site is not permitted. If there is a change to a current registrant, this must be communicated in writing to IAICDV Headquarters at [email protected] no later than September 27. No one will be allowed in and out of the exhibit hall without a valid registrant badge. 

The attendee list will be included in the “Tips For Your Trip” e-blast which is distributed to all registrants with valid email addresses one week prior to the event. CHECK YOUR SPAM! The attendee list is provided to all registrants in PDF format and does not include opt-outs or EU Citizens due to GDPR regulations. IAICDV does not provide registrant lists by request or in any other format.

A/V, electricity, internet and additional booth accessories such as furniture and graphics must be ordered through the GEMS (Gilbert Exposition Management Services) online portal here. If you did not receive an email from GEMS with your login information, contact GEMS at (407) 438-5002 or [email protected].

Cancellation Policy

All cancellations must be emailed to [email protected]. Refunds are subject to a 15% processing fee. No refunds will be made after September 5, 2023 unless the event is cancelled by the IAICDV. 

Hotel, airline, and rental car cancellations must be made by the registrant.
