Registration Questions

What comes with my registration?

Registration tickets include the following:

  • Access to all convention educational sessions and meetings
  • Access to the exhibit hall
  • Access to the attendee list with contact information and a printed copy of the IAICDV annual Member Directory
  • Food and beverages at the social/food functions
  • Unlimited networking opportunities!

Where do I pick up my registration materials?

You will need to pick up your name badge along with conference materials when you arrive. Your name badge serves as the entry to all convention functions, including social events and food/beverages.

What do I do if I need to cancel?

All cancellation requests must be emailed to [email protected]Refunds are subject to a 15% processing fee. No refunds will be made after September 6, 2021. Hotel, airline and rental car cancellations must be made by the registrant.

Can I transfer my registration if I can no longer attend?

Yes! You may transfer your registration to someone else in your organization. The request must be made via email to [email protected] no later than October 4th and include the following information:

  • Name
  • Job Title
  • Email
  • Phone
  • Any dietary needs / physical accommodations required

No one will be allowed in and out of the exhibit hall without a valid registrant badge.

What's included in my exhibitor registration? 

Exhibitor registration tickets include:

  • One delegate registration with full access to all speakers, events, entertainment and food/beverages
  • An exhibit booth with back and side wall drapes, measuring ten feet by ten feet (10’x10’) in a carpeted ballroom
  • One six-foot skirted table
  • Two chairs
  • One wastebasket
  • Booth signage featuring your company name
  • Company featured on IAICDV website and convention program (if registered by September 30th)
  • Access to all convention educational sessions and meetings
  • Access to the attendee list with contact information and a printed copy of the IAICDV Annual Member Directory
  • Food and beverages at the social/meal functions
  • Unlimited networking opportunities!

A/V, electricity, internet, furniture, etc. must be ordered through GEMS expo management company.

Are there any COVID-19 regulations I should be aware of?

Due to COVID-19 regulations, all food samples must be distributed in individually wrapped packaging.

When can shipments begin arriving at the GEMS warehouse?

Shipments may start arriving at the GEMS warehouse on Friday, September 17, 2021.

What is the deadline to have shipments arrive at the GEMS warehouse?

The deadline for exhibitor shipments to arrive at GEMS warehouse without surcharges is Thursday, October 14, 2021.

How do I purchase A/V, electricity and/or internet for my booth?

A/V, electricity, internet and additional booth accessories such as furniture and graphics must be ordered through the GEMS (Gilbert Exposition Management Services) online portal hereIf you did not receive an email from GEMS with your login information, contact GEMS at (407) 438-5002 or [email protected].

Hotel and Travel Questions

Does the hotel provide transportation to/from the airport?

The hotel does not provide transportation to/from the airport. An Uber to Rosen Shingle Creek from the Orlando International Airport (MCO) is approximately $28 USD one-way.

What are the driving directions to the hotel? Is there parking available?

The Rosen Shingle Creek is located at 9939 Universal Blvd., Orlando, FL 32819. View driving directions in Google Maps.

Is Rosen Shingle taking any safety precautions in relation to COVID-19?

Rosen Hotels & Resorts is restricting access to anyone with knowledge that they have a COVID-19 infection or have recently been exposed to the virus. Please thoroughly read the following:

By entering the premises, you are affirming and attesting that:

  • You do not have a COVID-19 infection and are currently not experiencing or displaying, and have not in the last 14 days experienced or displayed, any of the symptoms consistent with COVID-19 (e.g. fever, respiratory symptoms, shortness of breath, etc.)
  • You have not in the last 14 days had any close direct contact with anyone who is either confirmed or suspected of having COVID-19, including anyone who was experiencing or displaying any of the known symptoms of COVID-19.

A risk of exposure to COVID-19 exists in any public place where people are present. According to the Centers for Disease Control and Prevention, COVID-19 is an extremely contagious disease that can lead to severe health consequences. General Questions

How do I get an attendee list?

Approximately one-two weeks prior to the event, you can expect to receive an email entitled "Tips For Your Trip." This email will contain the attendee list including name, organization, city, state and email in PDF format. IAICDV does not distribute attendee lists in excel format or by request.

Will I receive a printed convention program?

Yes! Along with the IAICDV Annual Member Directory, name badge and other materials, you will receive a printed convention program when you check-in at the convention registration desk.

What is the convention attire?

IAICDV Sessions & Social Functions: Business casual/resort wear is suitable (Men: khaki pants, dress shorts, collared shirts, slacks. Women: dress shorts/capris, slacks, blouses, knit tops). Light jackets/ sweaters are recommended as the meeting rooms can get chilly.

Welcome Reception: Formal attire is recommended and encouraged (Men: suits. Women: evening/cocktail dresses.)

Can I bring my spouse/children?

Although attendees may bring family members to the hotel, only paid registrants wearing convention names badges will be permitted to attend convention events and food/social functions.
